Getting started with Restock Pilot

Restock Pilot helps retail and POS merchants know what to reorder, how much, and from which supplier — and rescues the suppliers and purchase orders that Stocky won't let you export. This guide walks you through setup in a few minutes.
1. Install and open the app
Install Restock Pilot from the Shopify App Store and approve the plan to start your free trial. After installing, open the app from your Shopify admin under Apps → Restock Pilot. Everything happens inside your Shopify admin — there's nothing for your customers to see.
2. Bring in your data from Stocky (or start fresh)
Stocky doesn't let you export suppliers or purchase orders. Restock Pilot imports them from CSV so you don't lose that history.
- Go to Import. Import your suppliers first, then your purchase orders (orders are matched to suppliers by name, so suppliers must exist first).
- Each importer has a downloadable template so you can see the exact columns. Any rows with problems are reported line by line — the rest still import.
- No Stocky data? You can skip this and add suppliers manually in step 5.
3. Set your forecasting rules
Open Settings to tune how suggestions are calculated:
- Sales window — how many days of recent sales to measure demand (default 30).
- Default lead time — days between ordering and receiving, used when a supplier has none set.
- Safety stock — a buffer kept on hand to avoid stockouts.
- Review period — how far ahead each order should cover.
- Alert email — where low-stock emails are sent.
4. Read the reorder panel
The home screen scans your tracked products and flags what needs attention. For each product you'll see:
- Available — current stock on hand.
- Incoming — units already on the way.
- Sales/day — sales velocity over your sales window.
- Reorder point — the level at which you should reorder.
- Suggested — how many units to order now.
- Status — Low (urgent) or Reorder (time to top up).
Products are inventory-tracked items with recent sales — suggestions appear as your store accrues sales history.
5. Manage suppliers
Under Suppliers you can add or edit suppliers with their contact details, lead time, minimum order quantity (MOQ) and payment terms. Lead time and MOQ feed directly into the reorder suggestions. A supplier that's linked to purchase orders can't be deleted, so your order history stays intact.
6. Create and track purchase orders
Under Purchase orders → New, pick a supplier and build the order:
- Low-stock products come pre-filled with the suggested quantity.
- Use Add product to include any other product from your store.
- Use Add custom line for something you don't stock in Shopify yet (e.g. packaging) — these don't affect Shopify inventory.
- Edit quantities, remove lines, then create the order.
Every order moves through a clear lifecycle: Draft → Sent → Received. Mark it Sent when you place it with the supplier, and Receive it when the goods arrive — received quantities are written back to your Shopify inventory automatically. You can export any order to PDF or CSV, and delete draft or sent orders (received orders are kept as a record).
7. Stay ahead with low-stock alerts
Once you've set an alert email in Settings, Restock Pilot emails you a daily summary of products running low. You can also send a test alert from Settings to confirm delivery.
